Administrative Assistance – Part Time

The Administrative Assistant is responsible for day-to-day administrative support of the agency, ranging from answering phones to performing clerical duties to maintaining basic housekeeping for the office. The person must be conversant with all computer software programs used in the office setting, have excellent communication skills and be able to handle several tasks at once.

Essential Functions:

* Answer incoming calls, transfer to the appropriate staff member and/or take messages

* Intake of client inquiries, including consulting caller and gathering data, sending information to potential client, logging the inquiry in the system, and alerting the Care Manager and/or Staffing Coordinator of potential services, setting appointments for consultations and assessments.

* Receive office visitors; prepare office/conference room for meetings

* Process and send bulk mailings and other correspondence

* Maintain stock of printed forms and documents and packets

* Assist staff with maintenance of client and employee records, ensuring compliance with state and agency regulations.

* Make client and employee folders

* Misc. Data Entry

* Other duties as assigned or delegated

Minimum Eligibility Requirements:

* Experience working in an office and/or customer service environment

* Basic computer knowledge, data entry, and word processing

* Ability and willingness to learn new computer programs and other tasks
