The Administrative Assistant is under the direct supervision of the ACOG Deputy Executive Director, and the general supervision of the Executive Director. This position is responsible for all administrative functions of the organization. Areas of responsibility include general administrative duties, building
maintenance coordination, purchasing, and IT management. In 2025, this position will assist with
planning a state-wide conference.
Required Experience
General Administration– Manage use of meeting spaces, including reservations, coordination of meals and refreshments, and communications with outside groups.
– Oversee inventory and organization of office supplies and equipment.
– Administer lease of copiers and printers, schedule service and maintenance.
– Assist at the front desk as required. Includes answering telephone calls for the Area Agency on Aging during the receptionist’s lunch break or when otherwise out of the office.
– Ensure compliance with all federal and state informational posting requirements.
– Coordinate production and printing of the Annual Report, Work Program, and marketing brochures.
– Update and maintain the ACOG website.
– Submit monthly reports to the finance department on printer/copier usage and postage costs. – Support other program areas as needed.
Building and Grounds Management
– Coordinate and supervise service agreements for landscape and property maintenance, including HVAC, plumbing, foundation, roof, and others as necessary.
– Arrange services for fire protection, security system, cleaning, and others as needed. Maintain compliance with any required governmental permits.
Purchasing
– Place and track orders for supplies, equipment, parts, and other local purchases. Includes preparing and submitting check requests for purchases.
– Process monthly recurring bills by submitting check requests or making online payments.
– Complete check requests/receipts and monthly credit card statement reconciliation.
– Coordinate conference registration and hotel reservations for staff upon request.
– Order and purchase meals for board and committee meetings.
– Procure quotes for large purchases at the request of the Executive Director.
– Ensure compliance with the agency’s purchasing and procurement policy.
IT Management
– Troubleshoot basic computer or printer issues that arise with staff.
– Call professional IT service for outages or to resolve difficult issues.
– Coordinate scheduling maintenance for the server and printers.
Knowledge, Skills and Abilities
Knowledge – Exhibit computers skills and experience with business-related software, including Microsoft Office products.
– Use communication skills to successfully interact with a diverse constituency. Speak in a calm and respectful manner to clients on the telephone.
Skills
– Prepare various types of documents with the proper format, punctuation, spelling, and grammar.
– Multi-task and distribute efforts appropriately among tasks, manage competing deadlines, handle frequent interruptions, and maintain a high level of productivity. Accuracy and careful attention to detail are required.
Abilities
– Work with limited supervision, resourcefulness, and self-motivation.
– Use interpersonal, analytical, and investigative skills to elicit information needed to clarify inquiries and requests.

Qualifications
Minimum Qualifications: – Bachelor’s degree or associate degree and three (3) years of relevant work experience, or
equivalent combination of education and experience.
Salary Range and Benefits – Salary commensurate with experience. The Appalachian Council of Governments provides
employees South Carolina State Health Insurance and Retirement benefits as well as dental
and vision coverage. Twelve paid holidays and paid annual and sick leave included with
benefits. 37.5-hour work week. Casual dress code.
